DOT Compliance Management for Owner-Operators and Small Fleets

If you run one truck or twenty, the paperwork never stops. A missed MCS-150 update, an expired medical card or a driver left out of the random pool can turn into fines, a failed audit or an out-of-service order. Our monthly DOT compliance management works like an outsourced safety department: we keep your files current, watch your scores and tell you what needs action before it becomes a problem.

What is DOT compliance management?

DOT compliance management is ongoing work, not a one-time fix. The FMCSA rules for drivers, drug testing, hours of service and maintenance all have deadlines that repeat. Medical cards expire. Annual MVRs come due. The random testing pool changes when you hire or let a driver go.

Most small carriers don't have a safety manager on staff. The owner is also the dispatcher, the bookkeeper and often the driver. Our monthly service fills that gap. We track the dates, review the records and send you a clear list of what to do and when.

What does a monthly DOT compliance service cover?

Every carrier is different, so we fit the service to your operation. For most clients, it covers these areas:

  • DQ file upkeep: applications, MVRs, annual reviews, road tests and medical certificates for each driver.
  • Drug and alcohol program: enrollment in a consortium, random pool updates, policy receipts and Clearinghouse queries.
  • Hours of service: periodic review of ELD logs and supporting documents, with notes on patterns that lead to violations.
  • Maintenance records: inspection schedules, repair history and annual inspection reports for each unit.
  • MCS-150 biennial update, UCR and other renewal reminders, so your USDOT number stays active.
  • CSA and BASIC score monitoring, plus help filing DataQs requests when an inspection report looks wrong.
  • Audit readiness: we keep your files organized so you can respond fast when FMCSA asks for records.
  • Policy updates when the rules change, explained in plain English.

Why do small fleets lose points or fail audits?

Most problems are not big violations. They are small gaps that pile up. A driver starts before the pre-employment drug test result comes back. An annual MVR review never gets done. Log records are not kept for six months. Each one is easy to fix early and costly to fix during an audit.

Some gaps are serious. Under 49 CFR 385.321, a new carrier automatically fails its safety audit for things like having no drug and alcohol testing program, no random testing program, or knowingly using a driver without a valid CDL or a medically unqualified driver. Our monthly checks are built to catch these issues early.

Do I really need to update my MCS-150 every two years?

Yes. Under 49 CFR 390.19T, carriers must update their MCS-150 every 24 months, even if nothing has changed. The month is set by the last digit of your USDOT number. The year, odd or even, is set by the next-to-last digit.

If you miss it, FMCSA can deactivate your USDOT number, and you cannot operate while it is deactivated. We track your due date and help you file on time with accurate mileage and power unit counts.

How much does DOT compliance management cost?

We quote each carrier based on fleet size and the type of operation. A single owner-operator hauling dry freight needs less work than a ten-truck fleet with several drivers and different commodities. After a free review of your USDOT number, we give you a clear monthly quote with no surprises.

How we handle it

  1. 1
    Free USDOT review

We look up your carrier profile on SAFER and the FMCSA portal, check your registration status and inspection history, and point out the most urgent issues.

  2. 2
    File audit and setup

We go through your DQ files, drug and alcohol program, logs and maintenance records. We list what is missing and help you fix it, starting with the highest-risk items.

  3. 3
    Monthly monitoring

Each month we check expiring documents, renewals, CSA data and new inspections. You get a short report with clear action items.

  4. 4
    Ongoing support

When you hire a driver, add a truck, get an inspection or receive a letter from FMCSA, we help you handle it the right way. We prepare and assist; you stay in control of your company.

Frequently asked questions

Is this the same as hiring a safety manager?

It does much of the same work, but you don't carry a full-time salary. We track deadlines, review records and guide you on what to fix. You still make the decisions and sign what needs your signature.

I'm an owner-operator with one truck. Do I need this?

One-truck carriers have most of the same duties as larger fleets. You still need a DQ file on yourself, a drug and alcohol program, a random pool through a consortium, logs and maintenance records. Many owner-operators use our service so they can focus on driving.

How long do I have to keep logs and maintenance records?

Records of duty status and supporting documents must be kept for at least 6 months under 49 CFR 395.8. Maintenance records must be kept for 1 year where the vehicle is housed or maintained, and for 6 months after the vehicle leaves your control under 49 CFR 396.3.

Can you help me fight a bad inspection on my CSA record?

Yes. If an inspection report has an error, we help you gather proof and file a DataQs request with FMCSA. We can't promise FMCSA will change the record, but a clear, well-documented request gives you the best chance.

Will you guarantee I pass a DOT audit?

No honest consultant can promise that. What we do is keep your files complete and organized, flag gaps early and help you prepare, so you go into an audit ready.
